What to do about missed calls when you're under a sink

By Camille Pearce, founder and CEO of Sayra

You're on your back in a kitchen cabinet, a flashlight in your teeth, a supply line half off. Your phone buzzes in your pocket. Then it buzzes again.

Every plumber knows that moment. So the call goes to voicemail, and you tell yourself you'll call back at lunch.

Sometimes that works. Often the caller has already dialed the next plumber on the list. Plumbing calls tend to be urgent, local and price-shopped, which is a bad combination for anyone who doesn't pick up.

There are a few realistic ways to fix this. I'll cover the common ones briefly and fairly, then spend more time on the one we build.

Voicemail, done well

Voicemail is free and you already have it. A good greeting helps: ask for name, address and the problem, promise a callback time, and give emergencies a path. The cost is your discipline in checking it between every job. The main drawback is that many people with water on the floor won't leave a message. They hang up and keep dialing until someone answers.

A family member or office helper

Plenty of shops run on a spouse, parent or part-timer answering the phone. When it works, it's great: a real person who knows the business, for the price of a wage or a favor. The drawback is coverage. That person has their own day, and the burst-pipe call tends to come at night, on weekends, or during school pickup. Being on call every night is a lot to ask of anyone.

A live answering service

A live answering service puts a person on the line around the clock, usually billed per minute or per call on a monthly plan, which often runs into the hundreds of dollars a month. You get a human voice at 3am. The main drawback is that the person answering handles many businesses at once and may not know plumbing, so you can end up with a name and number rather than the details you need. Ask how urgent calls reach you and how a busy month is billed.

An AI receptionist

This is what we build, so take that into account as you read.

We built Sayra after missing too many calls in my own vending business. We use AI heavily across the company, and Sayra is the clearest example: an AI receptionist that answers your phone 24/7 in your business's name, tells callers the call is recorded, answers common questions from what you give her (hours, services, prices, your service-call fee), takes messages and booking requests, screens likely spam, and emails you a summary after every call.

Here is what that looks like at 9pm on a weeknight.

A sample call: burst pipe at 9pm

Sayra: Thanks for calling Hartley Plumbing, this is Sayra. This call is recorded. How can I help?

Caller: A pipe burst under my kitchen sink. There's water everywhere.

Sayra: I'm sorry, let's get you help quickly. Is the water still running?

Caller: Yes. I don't know where to shut it off.

Sayra: If you can find the main shut-off, turning it off will limit the damage. While you look, can I get your name and address?

Caller: Dana Moore, 418 Birch Lane.

Sayra: Thanks, Dana. And the best number to reach you?

Caller: 555-0142.

Sayra: This is urgent, so I'm putting you through to the on-call plumber now. Please stay on the line.

A minute later, this is in the owner's inbox:

URGENT: Burst pipe, water still running
Caller: Dana Moore, 555-0142
Address: 418 Birch Lane
Issue: Burst pipe under kitchen sink, water on floor.
Caller could not find main shut-off.
Action: Transferred live to on-call cell at 9:03pm.
Recording and transcript in your dashboard.

Whoever picks up already knows the address and the problem. Whoever rolls in tomorrow morning has a record of the call.

How urgent calls work

You decide what counts as urgent. For most plumbers, that's an active leak or burst pipe, water coming through a ceiling, sewage backing up into the home, or no water at all. A slow drain or a remodel quote can wait for a message.

When a call matches your urgent list, Sayra transfers it live to your cell or your on-call plumber's cell. If nobody answers, she takes the full details and emails them to you at once, marked urgent, so nothing sits in a voicemail box.

Everything else gets a clear message or booking request in your inbox. Your nights stay quieter, and the calls that matter still reach you.

One thing to be clear on: Sayra is not a 911 service. If a caller describes a genuine life-threatening emergency, they should call 911.

Setup takes about 2 minutes

You keep your number. The one on your truck, your website and your listings stays exactly the same. You choose how calls reach Sayra:

  • Only missed calls. Your phone rings first, and if you're under a sink, the call rolls over to Sayra.
  • After hours only. You or your office handle the day; Sayra covers nights and weekends.
  • All calls. For shops that want a full-time front desk.

You tell us about your business, and we email you a page where you switch forwarding on with one tap. Most owners are done in about 2 minutes. Switching it off is just as quick.

The cost math

Sayra has two plans:

  • Starter: $49 a month, with 250 minutes included. Extra minutes are $0.30.
  • Growth: $99 a month, with 400 minutes included. Extra minutes are $0.25.

Most calls take 1 to 2 minutes, so Starter covers roughly 125 to 250 calls a month, and Growth roughly 200 to 400.

Now compare that with one missed job. A burst pipe, a water heater swap or a sewer backup is easily $300 or more. If Sayra catches one job a month that would otherwise have gone to the next plumber on the list, Starter has paid for itself several times over.

That's an assumption, not a promise. Your call volume, your prices and your local market all matter. But it's the right way to think about it: the question isn't whether $49 is cheap, it's whether you lose more than that to unanswered calls.

Straight answers to common questions

Will customers hate talking to AI? Sayra has a natural voice and gets straight to the point, which is what someone with a wet floor wants. She never pretends to be human. If a caller asks, she says she's an AI, and she tells every caller the call is recorded.

What if she gets something wrong? She doesn't guess. If a caller asks something you haven't covered, she says someone will get back to them and takes a message. Every call has a recording and a transcript in your dashboard, kept for 90 days. If you spot a question she couldn't answer, add the answer and she'll know it next time.

Can she book jobs? She takes the booking request: what the job is, where it is, and the caller's preferred times, and emails it to you to confirm. Or she can send callers your online booking link if you have one. She doesn't book straight into your calendar, so you never get a slot you didn't agree to.

What about callers who speak Spanish? If the caller speaks Spanish, Sayra switches to Spanish. Your summary email stays in English.

What about spam and sales calls? Sayra screens likely spam, so your summaries are mostly real customers.

Try it on your own business

Sayra comes with a 14-day free trial. A card is required, and you're charged on day 15 unless you cancel. After that, your first paid month has a 30-day money-back guarantee.

The quickest way to judge it is to hear Sayra answer as your business. Plans and minutes are on our pricing page, and more on how Sayra works for plumbers is on our plumbing page. If you'd rather talk it through, call us at 1-844-SAYRA-AI.

Whatever you choose, the goal is the same: every caller reaches something that takes the details and gets the urgent ones to you, even when both your hands are in a cabinet.
