After-hours HVAC calls: answer, book or put through?

By Camille Pearce, founder and CEO of Sayra

The first cold night of the year, your phone lights up. Some of those calls are a family with an infant and a dead furnace. Some are a homeowner who noticed a weird noise and wants a tune-up "sometime next week."

If every one of them wakes you up, you burn out. If none of them reach you, you lose the jobs that matter most and maybe leave someone vulnerable in a cold house.

The fix isn't answering more calls. It's deciding in advance which calls get put through, which get a safety script, and which wait for morning, and then choosing who applies those rules at 3am. Here are the common options, briefly and fairly, followed by a closer look at the one we build.

You, on your cell

Free, and nobody knows your trade better. The cost is your sleep. You take every call, including the tune-up request at midnight, and you're screening calls half awake. It works for a while; it rarely works for a whole winter.

A rotating on-call tech

Common in shops with a few techs. It spreads the load and keeps a trained person on the phone. The drawback is that your techs still screen every call personally, and the calls that could have waited eat into the rest they need for tomorrow's jobs. It also tends to wear on retention.

Voicemail with an emergency option

Cheap and quick to set up: a greeting that asks for details and tells urgent callers how to reach the on-call number. The cost is checking it promptly. The main drawback is that many people standing in a cold house won't leave a message. They hang up and call the next company.

A live answering service

A person on the line all night, usually billed per minute or per call on a monthly plan, often in the hundreds of dollars a month. You get a human voice at any hour. The drawback is that the person answering may be covering many businesses and may not ask the HVAC questions you'd ask, so ask how they apply your urgency rules and how they reach your on-call tech.

An AI receptionist

This is what we build, so take that into account as you read.

We built Sayra after missing too many calls in my own vending business. We use AI heavily across the company, and Sayra is the clearest example: an AI receptionist that answers your phone 24/7 in your business's name, tells callers the call is recorded, answers common questions from what you give her (hours, services, prices, your service-call fee), takes messages and booking requests, screens likely spam, and emails you a summary after every call.

Here is what a cold-night call sounds like.

A sample call: no heat, elderly parent at home

Sayra: Thanks for calling Summit Heating and Air, this is Sayra. This call is recorded. How can I help?

Caller: Our furnace stopped working and the house is getting really cold.

Sayra: I'm sorry to hear that. Is anyone in the home who's elderly, very young, or has a medical condition?

Caller: My mother lives with us. She's 84.

Sayra: Thank you. Do you smell gas anywhere in the house?

Caller: No, nothing like that.

Sayra: Good. Can I get your name, address and best callback number?

Caller: Rob Delgado, 72 Ridge Road, 555-0187.

Sayra: Thanks, Rob. With your mother in the home, I'm putting you through to our on-call technician now. Please stay on the line.

Moments later, this is in the owner's inbox:

URGENT: No heat, elderly resident (84)
Caller: Rob Delgado, 555-0187
Address: 72 Ridge Road
Issue: Furnace stopped working, house cooling.
No gas smell reported.
Action: Transferred live to on-call cell at 10:47pm.
Recording and transcript in your dashboard.

The tech picks up already knowing who's in the house and where to go. The office has a record of it in the morning.

How urgent calls work

You decide what counts as urgent. "No heat" alone might not be enough on a mild night. "No heat, below freezing, elderly resident" probably is. The same goes for no cooling in dangerous heat, or a commercial customer whose outage stops their business.

When a call matches your urgent list, Sayra transfers it live to your cell or your on-call tech's cell. If nobody answers, she takes the full details and emails them to you at once, marked urgent.

Gas smells are handled differently. Sayra does not troubleshoot them. She tells the caller to leave the home now and call the gas utility or 911 from outside, and she sends you the details.

Everything else, like spring AC checks, fall tune-ups, maintenance plan visits, replacement quotes and "it's making a noise but it works," becomes a clear message or booking request in your inbox. Your on-call tech is woken for the calls that need them, and the rest are waiting at 7am.

To be clear: Sayra is not a 911 service. Anyone in a life-threatening situation should call 911.

Setup takes about 2 minutes

You keep your number. The one on your trucks, your website and your listings stays the same. You choose how calls reach Sayra:

  • After hours only. Your office handles the day; Sayra covers nights, weekends and holidays.
  • Only missed calls. Useful in peak season, when the office line rings faster than anyone can pick up.
  • All calls. For owners who want a full-time front desk.

You tell us about your business, and we email you a page where you switch forwarding on with one tap. Most owners are done in about 2 minutes, and switching it off is just as quick.

The cost math

Sayra has two plans:

  • Starter: $49 a month, with 250 minutes included. Extra minutes are $0.30.
  • Growth: $99 a month, with 400 minutes included. Extra minutes are $0.25.

Most calls take 1 to 2 minutes, so Starter covers roughly 125 to 250 calls a month, and Growth roughly 200 to 400.

Compare that with one missed job. An emergency furnace repair or a no-cooling call in July is easily $300 or more, and a replacement lead is worth far more. If Sayra catches one job a month that would otherwise have gone to another company, Starter has paid for itself several times over.

That's an assumption, not a promise. Your season, your prices and your call volume all matter. But it frames the decision correctly: the question isn't whether $49 is cheap, it's whether you lose more than that to calls nobody answered.

Straight answers to common questions

Will customers hate talking to AI? Sayra has a natural voice and gets to the point, which is what someone in a cold house wants. She never pretends to be human. If a caller asks, she says she's an AI, and she tells every caller the call is recorded.

What if she gets something wrong? She doesn't guess. If a caller asks something you haven't covered, she says someone will get back to them and takes a message. Every call has a recording and a transcript in your dashboard, kept for 90 days. If you see a question she couldn't answer, add the answer and she'll know it next time.

Can she book jobs? She takes the booking request: what the job is, where it is, and the caller's preferred times, and emails it to you to confirm. Or she can send callers your online booking link if you have one. She doesn't book straight into your calendar, so she never promises a slot you haven't agreed to.

What about callers who speak Spanish? If the caller speaks Spanish, Sayra switches to Spanish. Your summary email stays in English.

What about spam and sales calls? Sayra screens likely spam, so fewer robocalls end up in your inbox or on your on-call tech's phone.

Try it before the next cold snap

Sayra comes with a 14-day free trial. A card is required, and you're charged on day 15 unless you cancel. Your first paid month also has a 30-day money-back guarantee.

The quickest way to judge it is to hear Sayra answer as your business. Plans and minutes are on our pricing page, and more on Sayra for HVAC companies is on our HVAC page. If you'd rather talk it through, call us at 1-844-SAYRA-AI.

Whoever answers your phone, decide your rules first. Then make sure they're applied every single time, including at 3am in January.
